Volunteer Roles

Thursday, May 23, 2024 - Policy Forum

Shift Time: 11:00am – 6:00pm

  • Usher/Greeter – Welcome guests and help direct them to the session room and answer any questions they might have.

 

Shift #1 Time: 11:00am – 4:00pm

 

Shift #2 Time: 4:00pm – 8:00pm

  • Registration Desk – Welcome guests to the registration desk and give them their name badge. Help answer any questions and provide housekeeping information as may be required. 

 

Shift Time: 11:30am – 5:30pm

  • Speaker Liaison – Greet assigned speakers upon arrival and act as their main point of contact for any questions. Ensure they are ready to present in their room and support the delivery of their session.

 

Lunch will be provided, and breaks will be arranged.

 

All volunteers on this day are welcome to stay for the welcome reception (5:30 pm – 8 pm) taking place after the Policy Forum.

Friday, May 24, 2024 - Conference Day 1

Shift Time: 7:00am – 4:00pm 

  • Usher/Greeter – Welcome guests and help direct them to the session room and answer any questions they might have.

  • Registration Desk – Welcome guests at the registration desk and provide them with their name badge. Help answer any questions and provide housekeeping information as may be required.  


Shift Time: 8:00am – 4:00pm 

  • Speaker Liaison – Greet assigned speakers upon arrival and act as their main point of contact for any questions. Ensure they are ready to present in their room and support the delivery of their session.

Saturday, May 25, 2024 - Conference Day 2

Shift Time: 7:00am – 4:00pm

  • Usher/Greeter – Welcome guests and help direct them to the session room and answer any questions they might have.

 

Shift Time: 7:00am – 4:00pm 

  • Registration Desk – Welcome guests at the registration desk and provide them with their name badge. Help answer any questions and provide housekeeping information as may be required.

 

Shift Time: 8:00am – 4:00pm 

  • Speaker Liaison – Greet assigned speakers upon arrival and act as their main point of contact for any questions. Ensure they are ready to present in their room and support the delivery of their session.

 

Lunch will be provided, and breaks will be arranged.

 

Access to the Feast is not provided to daytime volunteers.

 

Volunteers are welcome to purchase a Feast ticket if they wish to stay for the event.

 

Shift Time: 6:00pm – 10:00pm

  • Feast & Entertainment Supporter – Support the Saturday night Feast & Entertainment delivery. Duties will include setting up, welcoming guests upon arrival, ushering as needed, answering any questions, and other tasks as assigned.

 

Dinner will be provided (no drink tickets), and breaks will be arranged.

Policy Forum Team
Committee Member

(Currently full)
  • Participate in the planning of the Policy Forum to develop programming for forum
  • Source all speakers, panellists or facilitators
  • Attend regular status meeting as needed (bi-weekly)
  • Approx. 1 - 2 hours per week (time will vary each week and may be higher as we get closer to the event date); includes bi-weekly meetings

Promotions & Awareness Team Committee Member

(6-8 spots available)
  • Help promote the event and raise awareness via social media and word-of-mouth
  • Reach out to personal networks to explore interests in the conference (including sponsorship, registration, etc.)
  • Encourage registration sales where possible
  • Attend regular status meeting as needed (bi-weekly)
  • Approx. 1 - 2 hours per week (time will vary each week and may be higher as we get closer to the event date); includes bi-weekly meetings

Sponsorship Team
Committee Member

(6-8 spots available)
  • Work closely with core planning team to secure sponsors
  • Investigate and submit for other funding opportunities, e.g., grants
  • Broker connections/communicate with past/current sponsors to help answer questions and provide details as necessary
  • Attend meetings as required to track progress (bi-weekly)
  • Approx. 2 - 6 hours per month; includes bi-weekly meeting

If you want to join our dynamic team of onsite volunteers, please indicate your preferred role and shift by completing the online volunteer form. Please note, we will make every effort to accommodate your preference. However, volunteers may be rotated as needed to support the execution of the event.
